The Department of Health and Human Services [HHS] recently announced changes to the Health Insurance Portability and Accountability Act [HIPAA] that took effect on March 26, 2013 with a compliance deadline of Sept. 23, 2013.
These changes expand HIPAA requirements to business associates, or vendors that contract with the healthcare companies. Business associates will now be directly liable for compliance with certain requirements instead of liable only by association.
This change means an update to many existing Business Associate Agreements between our facilities and their vendors. While many healthcare providers are struggling to comply with these changes, Reptrax facilities can easily update their policy documents and, not only distribute them electronically to key individuals via our policy generator, but also record their acknowledgement of the update for future reference. Facilities can use Reptrax to add a new policy, decide which vendors should acknowledge the new policy and by what date. We take care of the rest with reminder weekly emails as well as track who has complied.

Steps for facilities to add policies –
1. Login to your Reptrax account 2. Under the Administration tab, select Policy Generator 4. Select Manage Policies 5. Fill in the required fields and select the PDF file on your computer 6. Select Add New Policy 7. Under the Administration tab, select Policy Generator 9. Select Assign Policies – choose the categories that apply 10. Set Access Requirement – Not Required, Required, Distribution Only 11. Select Update Policy Requirements
